Common hiring mistakes small businesses make (and how to fix them)

Common hiring mistakes small businesses make (and how to fix them)

Hiring is one of the most important things you’ll ever do as a business owner - but also one of the easiest ways to accidentally set your business on fire.

Unlike big companies, small businesses don’t have time, money, or backup plans to cover for a bad hire. One wrong fit and suddenly you’re doing double the work, your team’s ready to riot, and your profit margin just quietly left the room.

The worst part? Most business owners are not recruitment experts. You’re running the show, juggling 15 tasks at once, and hiring is just one more thing on the to-do list that somehow became a full-time job.

So let’s talk about the hiring mistakes we see constantly - and more importantly, how to fix them.

Mistake #1: Hiring Too Fast (or Too Bloody Slow)

Here’s how it goes: you’re desperate, you post a rushed job ad, and you hire the first person who sounds half-decent in the interview.

Or… you overthink it. You drag the process out for months, trying to “be sure,” while your team drowns in extra work and your dream candidate takes a job elsewhere.

The Fix:

  • Plan ahead. Know what roles are coming up in the next 6-12 months so you’re not always reacting.

  • Move fast but with structure. Don’t drag your feet, but don’t skip steps either.

  • Be proactive. Don’t just throw up a job ad and hope - actually go find people.

Hiring should be strategic - not a last-minute scramble or a six-month saga.

Mistake #2: Writing Vague, Boring-as-Hell Job Ads

Most small business job ads are either a total yawn-fest or a confusing buzzword mess.

“We’re looking for a dynamic rockstar ninja who’s passionate about success”

...what does that even mean?

“Great team environment, growth opportunities”

Cool, but where’s the detail?

The Fix:

  • Be specific. Say what the role actually involves, what success looks like, and who it’s not for.

  • Sell the role. Why should a great candidate choose you over someone else?

  • Set realistic expectations. Don’t copy-paste a corporate job ad. Make it yours.

A good job ad attracts the right people and repels the wrong ones. That’s the goal.

Mistake #3: Hiring on Gut Feel Alone

We get it - some people have great interview energy. But if you’re basing your whole hiring decision on a “vibe,” you’re gambling with your business.

  • You ignore red flags because they seemed “nice”

  • You don’t test their skills because they were confident

  • You hire someone who reminds you of yourself… and turns out to be a walking disaster

The Fix:

  • Use a structured interview process. Same questions, clear scorecard.

  • Assess skills. Give them something practical if needed.

  • Actually check references. Not the “she’s lovely” kind - real info from people they’ve worked with.

Trust your gut - but back it up with facts.

Mistake #4: Misunderstanding “Culture Fit”

Culture fit doesn’t mean “would I have a beer with them?”

It means - do they align with your values, work style, and how your team operates?

  • Hiring someone with all the skills but zero alignment = toxic vibes

  • Hiring someone who’s fun but underqualified = you picking up their slack

The Fix:

  • Define your company values (and actually live them)

  • Ask behavioural questions that reveal how people work, not just what they say

  • Hire people who challenge and complement your team - not copy-paste personalities

A great hire has the right skills and fits the way your business runs. You need both.

Mistake #5: Zero Onboarding (AKA “Good luck, figure it out”)

Hiring doesn’t end at the signed contract. If your onboarding is basically a laptop and a wave goodbye, don’t be shocked when they underperform or quit.

The Fix:

  • Map out the first 30, 60, 90 days

  • Give them actual training, tools, and context

  • Check in regularly - especially in the first few weeks

Onboarding is not paperwork. It’s where performance, retention, and culture all begin.
